As part of this growth, an opportunity has opened for a calm, warm and highly organised Receptionist and Office Coordinator to be the welcoming face of Aviva.
This is much more than a traditional reception role. For many people walking through Aviva's doors, their first interaction matters deeply. You will help create a safe, respectful and welcoming environment for tāngata whaiora, whānau, visitors, contractors and kaimahi, ensuring people feel comfortable, supported and connected with the right person.
We are looking for someone who brings genuine warmth, empathy and professionalism, along with the resilience to stay calm when people arrive in distress or in challenging circumstances.
About the role This role provides reception, administration, office coordination and day-to-day operational support. You will manage reception, phones, enquiries and visitor processes, support meeting room and vehicle bookings, maintain presentation standards and contribute to the smooth running of Aviva's office environment.
You will also provide practical IT and equipment support, including troubleshooting everyday issues, helping set up laptops and phones for new starters, monitoring equipment stock levels and liaising with Aviva's external IT provider when needed.
Responsibilities include:
- Welcoming visitors and helping them feel safe and comfortable
- Managing reception, phones, enquiries and visitor sign-in processes
- Coordinating office supplies, stationery, kitchen supplies and resources
- Supporting meetings, training, workshops, catering and room setup
- Assisting with onboarding and induction processes
- Monitoring office equipment and coordinating repairs or replacements
- Supporting health and safety, emergency procedures and fire warden responsibilities
- Completing end-of-day lockup checks across the building
The role is varied and fluid, so we are looking for someone who is proactive, adaptable and willing to step in where needed.

- Confidence using Microsoft 365, Teams and document management systems
- Practical problem-solving skills, especially with day-to-day office and IT matters

- A commitment to culturally safe, values-led practice
- A full, clean driver's licence
Previous experience in administration, reception or customer-facing roles is preferred. First aid, health and safety or fire warden training would be an advantage.
This is a full-time role working
Monday to Friday, 8:30am to 4:30pm on site.
